  • Perform word processing to type, format and or/ edit technical reports, letters, memoranda and many other documents in Microsoft Word.
  • Edit and format Microsoft Excel documents
  • Perform technical editing including checking documents for format, spelling, grammar and compliance with company standards.
  • Develop and adapt templates in Word and Excel
  • Perform database entry and reporting.
  • Prepare and compile Adobe PDF documents including bookmarking and hyperlinks
  • Assist technical and administrative employees with administrative tasks as needed
  • Support the mail and copy room as needed including handling incoming and outgoing mail, faxes, and shipping, copying and purchasing and stocking office supplies
  • Assist staff with developing Microsoft PowerPoint presentations including adaptation to company standards and review for format, spelling and readability.
  • Provide coverage/ backup for the receptionist including answering and operating mult-line phone system, greeting callers and visitors and directing theme to appropriate staff, and organizing food/ beverages for office meetings
  • Support the library and file room staff as needed with organizing with organization and archiving tasks
  • Plan the coordinate meetings, trainings, office parties, and other special events.
  • Support marketing staff as needed with preparation of proposals and other marketing materials.
  • Supporting accounting staff as needed for check production, filing, and other organizational tasks.
  • Follow Shannon & Wilson's Quality Assurance policy
  • Follow and promote Shannon & Wilson's Health & Safety and Loss Prevention policies and procedures.
  • Perform other duties as assigned by supervisor.
Qualifications

  • High school diploma or equivalent
  • 6+ years of experience in an office support role
  • Advanced experience with Microsoft Word, Excel and Powerpoint
  • Experience using Adobe Acrobat
  • Ability to handle tight schedule demands
  • Experience with mathematical terms and equations is preferred
  • Experience with document production equipment, i.e., printing, copying and binding.
  • Experience with Quality Assurance (QA) programs and audit procedures and record keeping, desirable.

Typically, depending on an application's education, experience, other qualifications they possess, if they are a fit for the company and local office culture, and the current business needs, a Mid-Level Administrative Assistant typically would be placed at a Shannon & Wilson Offices Services IV or V level. The base pay and level for this position depend on the skills, education, and experience the candidate possesses. The base pay range for this job is $28.00-43.50.
