Position description:

The Seattle Aquarium, a leading marine conservation organization, is looking for an Event Support Representative to join the Events Team. The Event Support Representative furthers the mission of the Seattle Aquarium "Inspiring Conservation of our Marine Environment" by overseeing a wide variety of evening rental and event functions in the Aquarium facility from intimate weddings to 1500-person parties. This position primarily works on-site for events, with the remote completion of administrative duties.

Key functions:

Event Representative/Audio-Visual Technician:

  • Act as the primary liaison between the Aquarium, Aquarium Partners, and vendors to ensure that event needs are met.
  • Communicate with clients, vendors, internal personnel and volunteers through email, phone and other communication channels.
  • Coordinate services for events such as underwater flag requests, stage, evening experiences, conference booking, facility requests, personalized underwater sign during the day.
  • Arrange the availability of audio-visual equipment, displays, and other event needs and contact the Aquarium AV team when necessary.
  • Manage an event's AV or technical needs when required, including in-house rental equipment such as lights and audio systems.
  • Communicate with event clients and vendors regarding AV needs as they arise.
  • Manage and oversee events as one of the lead event representatives.
  • Monitor guest behavior to ensure a safe event and protection of animals and habitats.
  • Oversee appropriate event staffing during an event including event staff, maintenance, visitor engagement, guest services as needed.
  • Collaborate with team members to communicate event details and needs to all internal and external stakeholders as necessary.
  • Provide and receive updates throughout the event.
  • Schedule staff for the event, ensuring appropriate coverage and adequate staffing levels.
  • Monitor event activities to ensure compliance with applicable regulations and laws, Aquarium policies, satisfaction of participants, and resolution of any problem that arises.
  • Act as a first responder for any emergency issues that may arise during an event.
  • Correspond with customers to answer questions or resolve complaints.
  • Complete post-event evaluations and address any issues or problems in a timely manner; report any outstanding issues or problems.
  • Participate in the advancing and integrating into their work with Diversity, Equity, Inclusion and Regenerative practices in alignment with our S.A.L.I.S.H Values.

Marine Science Interpreter:

  • Support the volunteer engagement team, including supervising and creating break schedules for volunteers on the exhibit floor.
  • Anticipate needs of visitors and volunteers, addressing barriers to participation for BIPOC, LGBTQ+ and disability communities to create an inclusive community.
  • Interpret Aquarium exhibits to visitors on an informal, one-on-one basis.
  • Assist with maintenance of props, exhibits and office/lounge spaces.
  • Stay informed of changes and pertinent information regarding exhibits and animals.
  • Support the wellbeing of animals by contacting Life Sciences with any unusual animal behavior or unsafe guest/animal interactions.
  • Formally present information on specific animals to guests during feedings, engaging with large groups using microphones and marine life knowledge.
  • Support event representative with AV needs and other tasks as necessary.

Administrative:

  • Coordinate with internal Aquarium personnel regarding event staffing and needs.
  • Fill out and maintain monthly calendar of events.
  • Reach out to external personnel for additional event staffing needs.
  • Find and extract necessary information from catering software.
  • Create reports on event data, including survey results and financial data.
  • Participate with committees or other groups as assigned.
  • Perform other duties as assigned.

Required skills and experience:

  • Prior experience working with events, directly working with customers.
  • Hospitality degree or certification helpful but not required with related event experience.
  • Ability to work a rotating schedule, including nights, weekends, or holidays.
  • CPR, first aid and AED certifications, or ability to acquire within the first six months of hire.
  • Excellent oral, presentation and written communication skills.
  • Willingness to learn about marine science and conservation.
  • Microsoft Office program experience is highly desirable.
  • Ability to learn and adapt to new programs, software, and practices quickly.
  • English verbal and written proficiency is required for this job, but preference will be given to multilingual candidates and individuals with extensive personal or professional experience communicating across languages and differences.

Working conditions:

  • Work in this position involves moving throughout the facility or remaining in one place for extended periods.
  • Lift, push, pull and move objects up to 30 pounds, or ability to participate in team lifts.
  • Work with culturally diverse populations.
  • Flexibility and willingness to work long, irregular hours including evenings until 2am, weekends and holidays as needed.
  • Work in environments with moderate to loud noise levels.
  • Occasional extended exposure to outside weather conditions.

Salary and benefits: $26.50-$28.00, Dependent on experience, with an additional $1.00 or $2.00/hour shift differential for nighttime hours, depending on schedule.
